If you interact with us via our website we will collect and use data as described below:
- Booking us for a session/training course
If you book us for a session we will need to keep contact details for you, including address details of where the session will be, in order to ensure we can deliver the required session (legitimate interest). It is likely that we would have to pass on your contact details to the educator or trainer who will visit your group, but we would ask your permission to do this first. We will not contact you for any other reason, unless you ask to go on our mailing list.
If you make a donation or payment for our services, we will need to keep financial records for this transaction as outlined above.
- Accessing our resources:
Signing up to access the churches’ or school’s area: When you register for the use of resources on this website, Hope UK will retain your personal (organisation’s) details on a secure database and send updates on new resources that may be of interest to you as they become available. (If you would like to hear from us more regularly you can also sign up separately here.
If you are signing up to access our accredited drug course, we are asking you to sign up for monitoring purposes only. However, if you choose to submit work to gain credit, we will keep your data in a secure location and also pass your details to OCN London when we upload your information to their secure site. - Asking for information (for example about volunteering)
- We will need to keep your contact details for as long as we are dealing with this request, but we will not add you to our database or get in contact with you for any other reason, unless you ask to go on our mailing list.
- Raising money for Hope UK
If you kindly raise money for Hope UK, we will have to keep records of who you are, your contact details and how much money you raised. We will keep this information for six years after the end of the financial year in which the money was raised. This is a legal requirement.
However, we will not add you to our database, nor contact you beyond what you need for the period of time you are fundraising for us, unless you request to go on our mailing list.

If you choose to be added to our mailing list we will keep your contact details on our database and contact you regularly with our newsletter.
We store your data securely in a password protected database.
- Email Choices
We will send relevant news and information about our services only if you have previously agreed to receive marketing email communication. Should you wish to stop receiving email communications, you can click the Unsubscribe link in the footer of any marketing email. Alternatively, you may contact us by email or telephone.
When sending marketing emails, we may use technologies such as tracking pixels or web beacons. These web beacons track certain behaviour such as whether the email was delivered and opened and whether any links within the email were clicked. They also allow us to collect the recipient’s IP address. We use this information to measure the performance of our email communications and enhance the effectiveness of our services.
Where we store your personal information (and security)
We are committed to holding your personal information securely. This means only those of our staff that need to see it have access.
We may store your information on computers, in paper form, or both.
All computers including laptops and our database are password protected. Sometimes we also use remote access to our IT system where this is secure and under our control. We have separate passwords for our database.
Our paper files which hold personal information are kept in securely locked cupboards, with keys being kept in a key safe.
All staff are trained on the requirements of current data protection legislation our data protection policy and procedures.
We do not sell or pass on your details to other parties – with the exceptions outlined above.
We may sometimes be obliged or permitted to disclose your personal data by law such as by a regulator with appropriate legal authority, court order or for other legitimate purposes.
You have the right to ask us not to process or store your personal information.
You have the right to see the data be hold about you. We will respond to requests within one month.
You have right for your data to corrected if you believe it to be inaccurate. We will make any such changes within one month.
You have the right for the data we hold about you to be deleted, unless it is required by law. However, this may mean that we are unable to work with you or provide services to you.
